This is a receptionist that works for you from a location outside of your office. They are also known by "Live Receptionists" or "Remote Receptionists". We utilize an advanced phone system that lets us track who is calling in, and who they are calling for so we can provide a customized experience to each of our clients.
A Happy, Helpful, Friendly human being. They are experienced and trained on how to speak with and treat your customers.
Our Virtual Receptionists follow a customized procedure for each of our clients. A usual scenario is:
- The caller is greeted with "Hello, thank you for calling (YOUR BUSINESS NAME), my name is Jennifer, How can I help you?". (this can be customized to your needs).
- The caller is screened through specific questions
- Depending on the availability of you (our client), we will try and contact you. We ask if you can accept the caller and why they are calling.
- If not, we will continue down the path and take a message, sent to you via email or cell phone TXT, or have them leave a voicemail if you prefer.
With our system we will either hand write them or have the caller leave a voicemail. This is up to you! If we record the messages manually, we can send those to you via email or a cell phone TXT message.
If the caller chooses to leave a voicemail, the message will be sent to your phone via an email, with the voicemail as an attachment. This lets you listen to voicemail's on your PC or smartphone.
You can update your Virtual Receptionist with your schedule or time available during the day. Send us an email or a quick phone call to say you will not be in the office for the rest of the day, and we won't try to transfer calls to you.
You can also issue instructions, such as to send all calls to your home for the rest of the day, or relay information to my callers that I will be out of the office the rest of the week.
All of the above. Just give us a list of the numbers you want us to try you at, and in what order they should be tried. If you only want URGENT calls to try your cell phone, we can do that!
Absolutely, the transition to our service is easy and nothing will change to your callers. We can also give you a new phone number, or to save on phone system costs you can port the number over to us. Give us a call and we can discuss your options.
If you are running a marketing campaign, we can give you a temporary number (for a small fee) to track its results.
Our office is in Downtown Scottsdale, Arizona.
The idea behind Front Office Staff is to have a location as close as possible to our customers, this gives an improved client experience for each person calling in. We can give accurate directions, talk about a good restaurant in the area for your client meeting, etc. Having a local business answer means small things like saying the road names correctly. We are a business hours service, this means Monday - Friday, 8am to 5pm MST, Arizona. Through a focus group we were able to determine that most people do not expect a live person after hours for the majority of businesses. We can customise a solution if your business needs after hours support. Give us a call!
We have our clients sign a Month to Month contract. This means you can cancel within 30 days if you are unhappy for any reason. I know you will love our service! Your clients will start to comment how your new employees are great.
